We aim to handle personal information responsibly and transparently. Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply to us, we will handle personal information consistently with those obligations.

If you have any questions about this policy or how we handle your information, contact: hello@specdesk.com.au

1. Information we collect

The information we collect depends on how you interact with SpecDesk.

When you request a custom demo or contact us, we may collect:

  • your name

Voice interactions may be processed by third-party voice AI, telecommunications and infrastructure providers in order to operate the demo.

Depending on the configuration of those services, voice interactions may be recorded, transcribed, logged or temporarily retained.

Please do not provide sensitive personal information, financial information, passwords, health information or other confidential information when using the public voice demo.

We may also collect technical information about visits to our website, such as:

  • IP address

  • device type
  • pages visited
  • referring website
  • approximate location
  • interaction and diagnostic information

This information may be collected automatically through hosting, security, analytics, cookies or similar technologies.

2. How we collect information

We may collect personal information:

  • directly from you when you submit a form
  • when you use the voice demo
  • when you email, call or otherwise contact us
  • through our website and technical service providers
  • from publicly available business information where necessary to prepare a custom SpecDesk demonstration you have requested

If you request a custom demo, we may review publicly available information on your business website to understand your products, services and enquiry types so we can prepare the demonstration.

3. Why we collect and use information

We may use personal information to:

  • respond to enquiries
  • prepare and deliver custom SpecDesk demonstrations
  • contact you about a demo request
  • provide information about SpecDesk services
  • operate and improve the SpecDesk website and voice demo
  • understand how people use the website and demo

  • maintain business and administrative records
  • comply with legal obligations

We may contact you about the enquiry or demonstration you requested.

We will only send marketing communications where permitted by applicable law, and where required we will provide a way to unsubscribe.

4. Voice demo and artificial intelligence

The SpecDesk website includes an interactive AI voice demonstration.

The demonstration currently uses an illustrative business called Harbour Windows & Doors. Harbour Windows & Doors is a fictional example used to demonstrate how SpecDesk could answer calls for a building-product company. It is not a real SpecDesk customer.

When you use the demo, your voice and conversation are processed using automated voice and artificial intelligence technology.

AI systems can make mistakes. The demo should not be relied upon for technical, safety, legal, financial or other professional advice.

The demo is provided to demonstrate the type of customer experience that SpecDesk can create for a business.

Please do not share sensitive or confidential information during the demo.

5. Third-party service providers

We use third-party technology providers to operate SpecDesk.

These may include providers for:

  • AI voice processing
  • telephony
  • website hosting and application infrastructure
  • databases
  • transactional email
  • business email
  • security
  • analytics
  • software development and deployment

These providers may process personal information on our behalf where necessary to provide their services.

Current providers may include services such as Retell AI, Lovable, Google and their underlying infrastructure or subprocessors.

We only disclose personal information where reasonably necessary for the operation of SpecDesk, to provide a requested service, to protect our legitimate interests, or where required by law.

6. Overseas processing

Some of our technology providers and their subprocessors operate outside Australia.

As a result, personal information may be processed or stored outside Australia, including in the United States and other locations in Europe or the Asia-Pacific region.

The exact locations may vary depending on the infrastructure and subprocessors used by our service providers.

7. Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

Information may be stored using third-party cloud infrastructure and database providers.

No internet service or electronic storage system can be guaranteed to be completely secure.

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, for legitimate business purposes, or as required by law.

When information is no longer reasonably required, we may delete or de-identify it.

8. Custom demo requests

When you request a custom SpecDesk demo, the information you provide is stored so that we can:

  • understand your request
  • prepare the demonstration
  • contact you
  • follow up on the enquiry

Submitting a custom demo request does not create a contract or obligation to purchase SpecDesk.

We may use publicly available information from the business website you provide solely for the purpose of understanding your business and preparing or discussing the requested demonstration.

9. Cookies and website technologies

The website may use cookies, local storage or similar technologies where required to operate the website, voice demo, security features or other functionality.

We may also use analytics tools to understand website performance and visitor behaviour.

Where we introduce additional tracking or analytics technologies that materially change how personal information is handled, we may update this Privacy Policy accordingly.

10. Access and correction

You may contact us to request access to personal information we hold about you or to request that inaccurate information be corrected.

Contact: hello@specdesk.com.au

We may need to verify your identity before responding to an access or correction request.

11. Privacy complaints

If you believe we have mishandled your personal information, please contact: hello@specdesk.com.au

Please provide enough information for us to understand and investigate the issue.

We will consider privacy complaints and respond within a reasonable period.

You should review the privacy policies of those services before providing personal information to them.

SpecDesk is a business-to-business service and is not directed at children.

We do not knowingly seek to collect personal information from children through the website or voice demo.

14. Changes to this policy

We may update this Privacy Policy from time to time as our business, technology or legal obligations change.
